Graduate Administrative Assistant in Law & Computer Science

Professor Becca Williams is looking for a graduate student or other suitable person to help with the co-ordination of teaching for the Law & Computer Science option, which is offered jointly by the Faculty of Law and the Department of Computer Science.   

Tasks for the Graduate Administrative Assistant will include: 

  • Liaison with lecturers about materials, reading etc. to be put on ORLO and the Canvas site 

  • Organisation of name labels, group formation logistics, etc. at the start of the theoretical sessions (tutorial sign-ups to be organised and announced through Canvas) and handling other announcements to students. 

  • Liaison with the two course convenors, Becca Williams and Tom Melham 

  • Other similar logistical activities, e.g. helping to arrange the reception after the final project presentations at the end of the course in 8th Week of Hilary Term 

The Graduate Administrative Assistant would be welcome to attend all the course sessions, but would not be expected to do so.  For more information about the option, please visit the course page on the Computer Science website. 

Duration and hours  

Working hours: up to a total of 32 hours (1-2 per week) during Michaelmas Term 2024 and Hilary Term 2025 

Start date: immediate 

End date: end of Hilary Term 2025 

Reporting 

The Graduate Administrative Assistant will report to Professor Becca Williams. 

Requirements 

  • Strong organisational and communication skills are essential 

  • An understanding of the field of Law and/or Computer Science is desirable  

  • Experience of the following software/applications is desirable: Canvas, Leganto (formerly ORLO), Panopto 

  • Good spreadsheet skills are desirable. 

  • Available at 11am on Tuesdays and sometimes at 9am on Thursdays as per the timetable.  

Your normal place of work will be the Robert Hooke Building (Computer Science), Pembroke College, or the St Cross Building or Manor Road Building, Manor Road.  However, provided you have the agreement of your PI/Supervisor, and a suitable space to work (including library access if required), it may be possible to undertake some of the work remotely.   

In all cases the work must be undertaken in the UK.

Rate of Pay 

The work will be paid at £17.83 per hour, which equates to University Grade 6, point 1, on the basis of completed and approved timesheets, which must be submitted to payroll@law.ox.ac.uk by the last Friday of each calendar month for payment on the last working day of the following month. 

In addition, paid annual leave will be assumed to be taken in the month in which it was accrued.

Guidelines for Faculty members, line managers and students 

Work must not commence without a letter of engagement or variable hours contract and a right to work check having been carried out by the Faculty Personnel Officer. 

Graduate student engagement opportunities in the Faculty of Law usually fall into one of three categories: Research Assistant; Graduate Teaching Assistant; or Blog Editor.  

The University guidance on paid work for Oxford graduate students recommends that full-time graduate research students ensure that any paid work should still allow them to spend at least 40 hours per week for a minimum 44 weeks of the year on their studies. Full-time graduate taught students are recommended not to undertake more than 8 hours’ paid work each week during term-time study periods.  There are additional rules for students with visas wishing to undertake paid work.    

Students may not work for their own supervisor without the approval of the Associate Dean for Graduate Students.
