Graduate Mooting Assistants for the Oxford Intellectual Property Moot (x2)

The Faculty is seeking to appoint two IP Mooting Assistants for the 2024 edition of the Oxford International Intellectual Property Moot. The work would be ideal for an MPhil or early to mid-stage DPhil student (i.e. with at least one year of study remaining in October 2023) with a strong interest in mooting.
The Oral Proceedings of the 2024 moot will take place from Wednesday 13th to Saturday 16th March 2024. Attendance in Oxford in the lead-up to the moot, and at the moot itself, is essential.
This role relates to the administration of the Moot. It does not involve organising or coaching any Oxford team in the competition or the Chief Clerks’ role supporting the moot exercise.
The responsibilities of the IP Mooting Assistants will include:
Correspondence:
- Monitor and manage the moot email account.
- Seek guidance from the Organising Committee for query resolution.
- Draft and send responses to moot participants, judges, and markers.
Administration of Registration and Bookings:
- Administer registration and booking arrangements for moot teams, judges, and volunteers.
- Help ensure teams complete participation milestones, including submissions and registering and paying all required fees.
- Guide teams through the registration process, including the submission of skeleton arguments, arrange and issue invitation letters.
Coordination of Judges & Markers:
- Assist in recruiting and coordinating judges for Oral Proceedings.
- Oversee email correspondence with judges.
- Respond to judge and markers queries and record their availability.
Communication Coordination:
- Maintain the mooting webpage.
- Prepare content for Law News and social media posts.
- Coordinate the Moot Brochure and Moot Report.
Moot Arrangements:
- Help ensure the smooth running of the moot in person event.
- Prepare welcome packs, certificates, and prizes for moot teams. Assistant in preparing printing bundles for mooting.
Reporting
The Mooting Assistants will report to Professor Emily Hudson, Director of the IP Moot, and will work under the supervision of the OIPRC Centre Administrator.
Duration and hours
Start date: 11th December 2023
End date: 31st March 2023
Hours: each IP Mooting Assistant will work up to 8 hours per week, or a reasonable average over the 16 weeks of the appointment, by arrangement with the line manager. These hours are in line with the Faculty guidance on student working.
Requirements:
- Excellent administrative and IT skills are essential.
- Experience of using Drupal or other website content management systems is desirable (training can be provided)
- Experience of moots or academic legal study
- Whilst much of the work can be carried out online, the Graduate Mooting Assistants will be required to be present in-person in Oxford for some of their mooting-related duties, and in particular in the lead up to the Moot, such as preparing welcome and welcome bags.
- Meetings with the Mooting Assistants may be held either in-person in Oxford or online.
- Prior mooting experience (including in relation to the IP moot) is desirable but not essential.
Eligibility
This opportunity is open to current graduate students in the Faculty of Law and the hours are in line with the restrictions on working hours for students within the Law Faculty
Rate of Pay
The work will be paid at £17.03 per hour, which equates to University Grade 6, point 1, on the basis of completed and approved timesheets, which must be submitted to payroll@law.ox.ac.uk by the last Friday of each calendar month for payment on the last working day of the following month.
In addition, paid annual leave will be assumed to be taken in the month in which it was accrued.

Guidelines for Faculty members, line managers and students
Work must not commence without a letter of engagement or variable hours contract and a right to work check having been carried out by the Faculty Personnel Officer.
Full-time graduate students in the Faculty of Law may work up to 8 hours per week, or a common sense average across the year, regardless of the type of work.
Students may not work for their own supervisor without the approval of the Associate Dean for Graduate Students.
